7 Signs Your Business Is Ready for an ERP System

20 October 2026 · 6 min read

Spreadsheets are a great start. But there comes a point where they slow your business down. Here are the seven signs, and what to do about them.

Almost every business starts out keeping records in spreadsheets, notebooks or WhatsApp groups. That is normal, and it works while the team is small. The trouble starts as the business grows: more branches, many more transactions, and data scattered everywhere. At that point, your team spends its time reconciling numbers instead of serving customers.

An ERP (Enterprise Resource Planning) system brings sales, inventory, purchasing and finance into one place. These are the seven signs we see most often that a business is ready for the next step.

1. Stock has to be checked by hand

When a customer asks "is it in stock?", someone has to call the warehouse or check the shelves. Sales slow down, and customers are sometimes promised items that are already gone.

2. Financial reports are only ready mid-month

If last month's report is only readable halfway through this month, every decision is a month late. With an ERP, profit and loss and cash flow are available at any time.

3. Sales data lives in spreadsheets, chats and notebooks

When data sits in many places, the numbers rarely match from one report to the next. Time goes into reconciling, and mistakes are hard to trace.

4. Customer deposits are booked as revenue

A deposit is a liability until the goods or services are delivered. Booking it as revenue makes this month's profit look better than it really is. A correctly configured ERP keeps deposits separate from revenue automatically.

5. Every new branch means another spreadsheet

That approach does not scale. With an ERP, a new branch is simply another location or company in the same system, with consolidated reports built in.

6. Purchase approvals happen in chat

Without a recorded approval flow, it is hard to know who approved a purchase and what their limit was. An ERP gives you multi-level approvals with a clear audit trail.

7. The owner cannot see the numbers without asking

If every question about revenue, stock or receivables has to wait for a staff reply, you have lost sight of your own business. An ERP dashboard gives you an up-to-date view from anywhere.

So where do you start?

  • Pick the one or two most urgent modules, such as inventory and sales.
  • Clean up master data (products, customers, suppliers) before migrating.
  • Involve a representative from each team from the discovery stage.
  • Pilot in one branch before rolling out to all of them.
